Privacy Policy

1. Overview

We collect information to operate the website and resources library, provide accounts, understand which resources people use, and maintain site performance.

You can browse the public resources catalog without an account. If you create an account, we collect account and profile information directly. Payments, scheduling, newsletters, and some forms are still handled by third-party services when you choose to use them.

One exception is the voice assistant embedded on parts of this site. If you choose to start a conversation with it, that conversation is handled by ElevenLabs without you leaving our site. Section 5 explains how it works.

2. Information We Collect

We may collect or receive the following categories of information:

• Account identity information, including your email address and the identifiers needed to keep you signed in.
• Required profile information you submit: first name, last name, company or organization, and your role.
• Your optional choice about whether to receive AI Between Worlds articles and resource updates.
• Resource usage information, including which resources you add to My Resources, related campaign or referral information, and supported activity events reported by connected resources. We do not put policy text, workflow content, credentials, or saved resource inputs into this usage data.
• Basic usage information such as pages viewed, referral sources, browser type, device type, and general location derived from IP address.
• If you download a free guide through a link we sent you, we record the guide, the date and time, the short reference code in the link, and your browser's user-agent string. The code is tied to the person we sent the link to, so we can follow up with them. We do not ask for your email address to download it.
• If you use our free medspa Black Friday checklist and choose to request your results by email, we collect your email address, your score and answers, any estimate figures you entered, the link or channel you arrived from, the time of your request, and whether you also opted in to our weekly email. Your answers stay in your browser unless you make that request. We use Make.com to receive the request and move it into our contact records.
• If you use our free medspa AI vendor scorecard, your grades and notes are saved in your browser on your device. If you choose to email your scorecard, we collect your email address, the vendor's name and type, your grades and decision, the link or channel you arrived from, and whether you also opted in to our weekly email. Your notes on the vendor's answers are never sent to us. We use Make.com to receive the request and move it into our contact records.
• Technical data used to operate and protect the site, such as performance and diagnostic information.
• Information you choose to provide directly to third-party services linked from our site, such as contact details, intake responses, scheduling information, newsletter signups, or payment details.
• Voice audio and the content of your conversation, but only if you choose to start a conversation with the embedded voice assistant and grant your browser's microphone permission. The assistant does not load, listen, record, or transmit anything until you click its button to start it, and you can end it or revoke microphone access at any time.

Apart from voice conversations you choose to start, we do not intentionally collect sensitive personal information through the website or resources library.

3. How We Use Information

We use information to:

• Understand how visitors use the website.
• Maintain, secure, and improve site performance and content.
• Evaluate what information and services are most useful to visitors.
• Create and maintain your resources account, profile, preferences, and access to resources.
• Record which resources are useful and improve the resources library.
• Support business operations when you choose to engage with linked third-party tools.
• Send results you ask us to email, and add you to our weekly email only if you tick that box.
• Answer questions and understand what visitors ask, where you have chosen to use the voice assistant.

Legal bases for UK and EU visitors. If you ask us to email your results, we process your information because you asked us to and because we have a legitimate interest in delivering your results and keeping a record of your request. We add you to our weekly email only if you tick the box, and we rely on your consent for that. The box is never ticked for you, and you can withdraw your consent at any time by unsubscribing or contacting us.

We do not sell personal information collected through this site, and we do not sell or share voice recordings or conversation content. We do not directly process customer payments on the site at this time.

4. Analytics and Cookies

We use Vercel Web Analytics to understand site traffic and page usage, and Vercel Speed Insights to measure how quickly our pages load. Neither sets cookies on your device. The information they collect includes the pages visited, referral information, browser and device details, and an approximate location.

We do not use Google Analytics. Our public marketing pages set no cookies and load no sign-in code. Clerk, which provides sign-in, loads only on the resources library (the catalog, sign-in, sign-up, and account pages) and sets the cookies it needs there to keep you signed in and protect sign-in from abuse. The voice assistant loads nothing and sets nothing on your device until you click its button to start it. Once you start a conversation, it may save a random identifier in your browser's local storage (see section 5).

You can limit or delete cookies through your browser settings. Blocking the cookies Clerk sets will prevent you from staying signed in to the resources library.

5. Third-Party Links and Services

Clerk provides account authentication and sign-in services. Supabase stores resources profiles, preferences, access records, and product usage data, and also supports blog and content delivery. Our site includes outbound links to third-party services, including Tally, Jotform, Substack, TidyCal, Stripe, Skool, and LinkedIn. Make.com receives checklist and scorecard result requests from the site, and Notion stores those requests in our contact records. Make.com and Notion act as our processors for these requests. They handle the information on our behalf and only to provide their services to us.

If you click one of those links, you will be subject to that third party's privacy policy, terms, and practices. We are not responsible for the privacy or security practices of third-party sites or services.

We encourage you to review the privacy policies of any third-party service you use.

Separately from those outbound links, parts of this site embed a voice assistant provided by ElevenLabs. Unlike the services above, it runs on our pages rather than sending you elsewhere. Nothing is loaded from ElevenLabs, and nothing is sent to it, until you click the button to start the assistant. When you do, your browser loads the assistant's code from ElevenLabs and its delivery providers (jsDelivr and Google Cloud Storage), and your microphone audio and the content of the conversation are sent to ElevenLabs in real time so it can run the assistant.

Our assistant runs in ElevenLabs' zero retention mode, so ElevenLabs does not log or store the content of the conversation, including what you say and what the assistant says back, or the audio. We store nothing from the conversation either. Other information ElevenLabs receives when your browser connects to it, such as your IP address, is covered by its privacy policy. We do not use the assistant on our privacy policy or blog pages.

If you would rather not use it, do not start a conversation, or decline the microphone permission your browser asks for. Nothing is captured unless you do both. You can review the ElevenLabs privacy policy for details on how they handle voice data.

6. Payment Processing

AI Between Worlds does not currently process payments directly on this website through an embedded checkout.

If you make a payment, it is handled through a third-party provider such as Stripe or another linked service. Payment information is collected and processed by that provider, not directly by this site.

7. Data Retention

We retain information only as long as reasonably necessary for analytics, site operations, security, recordkeeping, or legal compliance.

Checklist requests, and the contact records we create from them in our Notion Pipeline, are kept for 2 years from our last contact with you and then deleted. You can ask us to delete yours sooner by emailing us.

You can delete your account from the Account page. The deletion process removes your resources profile, preferences, access records, and linked usage events from our platform. A limited deletion request record may remain so failed cleanup can be identified and completed. Information submitted to other third-party services is governed by those providers' own retention practices.

Accounts with no sign-in for 2 years are treated as inactive and deleted. Resource usage events, free guide download records, and account deletion request records are kept for 2 years and then deleted.

The voice assistant leaves no conversation record with us, and none with ElevenLabs while its zero retention mode is on (see section 5).

8. Your Privacy Choices and Rights

Depending on where you live, you may have rights related to access, correction, deletion, or restriction of personal information.

If you are in the United Kingdom or the European Economic Area, you have the right to access your personal information, to have it corrected, to have it deleted, to restrict how we use it, to object to our use of it where we rely on legitimate interests, to receive a copy of the information you gave us in a portable format, and to withdraw your consent at any time where we rely on it. To use any of these rights, email us at the address in section 13. You also have the right to complain to the Information Commissioner's Office (ICO) in the UK, or to your local data protection authority in the EU. We would appreciate the chance to address your concern first.

You can also manage cookies through your browser settings and choose whether to use third-party services linked from our site.

You can update your resources profile and marketing preference from the Account page, or delete your account there.

If you have a privacy request, contact us and we will review it in light of the information we actually control.

9. Children's Privacy

This site is intended for adults and professionals. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through this site.

If you believe a child has provided personal information through a service connected to this site, please contact us so we can review the situation and take appropriate steps.

10. International Visitors

If you access this site from outside the United States, your information may be processed in the United States or other countries where our service providers operate.

AI Between Worlds is a US business and collects this information directly from you. It is processed in the United States by us and by our service providers. Make (operated by Celonis) and Notion process it for us under data processing agreements. Celonis, Inc., which runs Make, is registered with the Data Privacy Framework, as set out in the Celonis Data Processing Agreement for Make. Notion processes it under its standard data processing terms. If you are in the UK or EU, this means your information is transferred to the United States, which may have different data protection laws than your own. You can contact us to ask about these arrangements.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the site, our practices, or legal requirements.

When we make updates, we will revise the effective date at the top of this page.

For the purposes of the UK GDPR, AI Between Worlds' representative in the United Kingdom is Nagawa Lule. If you are in the UK, you can contact her about how we handle your personal information at nagawalule@aibetweenworlds.com. You can also contact us using the details in section 13.
